What Data We Collect

Contact form data. When you submit the enquiry form on this website, we collect the information you provide: your name, company name, email address, telephone number, the site location you specify, and the description of your project or challenge.

Correspondence data. If you contact us by email or telephone, we retain the content of that correspondence and the contact details you use.

Client and project data. Where we carry out work for you, we process the business information necessary to plan, execute and invoice that work — including contact details of those involved, project documentation and site information.

Technical data. This website does not use advertising or profiling cookies. Basic technical information may be processed by our hosting provider for security and availability purposes.

Why We Process It

To respond to enquiries you submit through this website.

To prepare, execute and invoice work we carry out for you, and to comply with our contractual and legal obligations.

To maintain accurate business records, including documentation relating to work performed.

To comply with legal obligations, including Dutch tax and administrative requirements.

We do not sell, rent or trade personal data. We do not use your data for automated decision-making or profiling.

Legal Basis

Where you submit an enquiry, we process your data on the basis of your consent and our legitimate interest in responding to a business request.

Where we carry out work for you, processing is necessary for the performance of a contract, and for compliance with our legal obligations.

Where processing is based on consent, you may withdraw that consent at any time by contacting us. This does not affect processing carried out before withdrawal.

How Long We Keep It

Enquiries that do not lead to work are retained for up to twelve months, so that we can refer back to the context if you contact us again.

Project and financial records are retained for seven years, in line with Dutch statutory retention obligations.

Correspondence relating to executed work is retained for the duration of any warranty period plus the statutory retention term.

Who We Share It With

We share data only where it is necessary to deliver our services or to meet legal obligations. This may include our hosting provider, our email and form service providers, and our accountant or administrative service provider.

Where a project requires coordination with other parties on site — such as the client, main contractor or project management — we may share project-relevant information with them to the extent necessary for the work.

All parties processing data on our behalf do so under an agreement that requires them to handle it confidentially and in accordance with the GDPR.

Security

We take appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access.

Our website is served over an encrypted connection, and access to systems containing personal data is limited to those who need it to carry out their work.

If a data breach occurs that is likely to affect your rights, we will notify the relevant authority and, where required, you directly.

Your Rights

You have the right to request access to the personal data we hold about you, and to ask for a copy.

You have the right to request correction of inaccurate data, and — where the conditions apply — deletion or restriction of processing.

You have the right to object to processing based on legitimate interest, and to receive data you provided in a structured, commonly used format.

To exercise any of these rights, contact us at info@martonsolutions.nl. We will respond within one month. If you are not satisfied with our response, you have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
